FlipMate Privacy Policy
Plain-English, lawyer-ready draft you can hand to counsel. Reflects how FlipMate operates (request-access onboarding, human-led + automation sourcing, messaging sellers on behalf of users, inventory and sales tools, optional Renw cross-listing) without locking us into specific vendors or jurisdictions.
Draft for attorney review.
Intended to describe current practices and flag choices to finalize (retention periods, state-specific rights text, DPA language).
Effective date: [To be inserted]
Who we are: [Legal entity name, street address, email (privacy@flipmate.com)]
Applies to: flipmate.[domain], app.[domain], renw.[domain] (as applicable), and any services, apps, or tools we operate under the FlipMate or Renw brands (collectively, “Services”).
1) What this policy covers
- The personal information we collect about flippers (customers and applicants), sellers we contact on their behalf, site visitors, and other people who interact with us.
- How we use, share, secure, and retain that information.
- Your choices and rights.
This policy does not cover third-party marketplaces (e.g., Facebook Marketplace, Craigslist, OfferUp) or other sites we don't control.
2) Information we collect
You provide directly
- Request access & account info. Name, email, city/region, pickup radius, flipping focus/categories, approximate monthly volume, and any notes you submit.
- Profile & preferences. Sourcing categories (e.g., sofas/sectionals, recliners, mattresses, MCM casegoods), price ranges, and other settings that guide what we pursue.
- Inventory & sales data. Items you add or edit; listing status (New → Listed → Sold); which platforms each item is listed on; prices, edits, notes, and outcomes.
- Media you upload. Photos and other content you provide; when you use photo re-ordering/export features we process image metadata (e.g., timestamps).
- Communications. Messages you send us (email, in-app, support), and your responses to outreach.
Collected automatically when you use our sites/apps
- Device & usage. IP address, approximate location (derived from IP or you telling us your pickup radius), browser/device type, pages viewed, interactions, and diagnostics/logs.
- Cookies/SDKs. We use cookies or similar tech for authentication, analytics, and product improvement. (See “Cookies & tracking” below.)
From third parties
- Marketplaces & integrators. Listing data and seller contact info that is available to you or to us in order to contact sellers and coordinate pickups on your behalf.
- Public sources & referrals. Public marketplace profiles or info flippers choose to share publicly (e.g., to evaluate fit/coverage); referrals from existing users.
- Payment processors. Limited billing metadata (we don't store full payment card numbers).
Role note
For some data (e.g., your account, product telemetry) we act as a business/controller. For certain customer data processed to fulfill your instructions (e.g., contacting sellers and coordinating pickups), we act as your service provider/processor. We will provide a Data Processing Addendum (DPA) on request.
3) How we use information
- Provide and improve the Services. Run sourcing, contact sellers on your behalf, verify details, schedule pickups, push scheduled runs to your dashboard, manage inventory transitions (Available → Scheduled → Inventory), and power sales tracking/scheduling.
- Personalize your experience. Apply your categories, price ranges, and pickup radius to what we watch and how we present deals.
- Communicate with you. Account and approval emails; operational updates; support; product changes. (You can opt out of non-essential marketing at any time.)
- Security, fraud, and abuse prevention. Detect misuse and protect users, sellers, and our systems.
- Compliance. Meet legal, regulatory, and tax obligations.
- Research & development. Analyze aggregated/anonymized usage to improve prioritization, speed, reliability, and quality.
Messaging on your behalf
As part of full-service sourcing, we may contact sellers and coordinate logistics on your behalf using company-controlled communication methods or integrations. We limit what we share to what's necessary to qualify, schedule, and complete the pickup.
4) Sharing and disclosure
We do not sell personal information for money. We share information only as needed to run the Services:
- Service providers. Hosting, infrastructure, analytics, email/SMS, authentication, payments, and customer support vendors bound by confidentiality and data-use limits.
- Marketplaces and sellers. To contact sellers and schedule pickups on your behalf (limited to what's needed for that transaction).
- Affiliates/brands. Renw (our consumer-facing shop) and FlipMate may share infrastructure and limited data where needed to deliver features you opt into (e.g., optional hosting/cross-listing).
- Legal and safety. If required by law, subpoena, or to protect rights, safety, and property of users, sellers, the public, or FlipMate.
- Business transfers. In a merger, acquisition, or asset sale, information may transfer as part of the transaction (we will provide notice where required).
- Aggregated/anonymized insights that cannot reasonably identify you.
We do not share your information for third parties' direct marketing.
5) Cookies & tracking
We use cookies and similar technologies to keep you signed in, understand feature usage and improve performance, and measure website/app traffic.
You can manage cookies through your browser settings. Some features may not work without essential cookies. We currently do not respond to “Do Not Track” signals. Where required by law, we will display a cookie notice and/or consent banner.
6) Data retention
We keep personal information only as long as needed for the purposes above, and then delete or de-identify it.
Indicative (to be finalized with counsel):
- Access requests (approved/declined/pending): retain minimal records to manage onboarding and prevent abuse; delete or de-identify after [e.g., 12–24 months].
- Account, inventory, and sales data: keep while the account is active and for [e.g., 2–7 years] after closure to meet tax, accounting, and legal requirements.
- Operational logs/analytics: short rolling windows unless needed for security and reliability.
7) Security
We use reasonable and appropriate safeguards to protect information (access controls, encryption in transit, hardened infrastructure, least-privilege practices). No method is 100% secure; we encourage strong, unique passwords and keeping your devices up to date.
8) Your choices & rights
Depending on where you live, you may have rights to:
- Access or get a copy of your information;
- Correct, delete, or export it;
- Opt out of non-essential emails or targeted advertising;
- Limit the use of sensitive data (where applicable).
To exercise rights, contact us at privacy@flipmate.com or via in-app controls (when available). We may need to verify your identity and may deny or limit requests where permitted by law (e.g., to protect others' privacy or our legal obligations).
Regional notes
U.S. state notices (e.g., CA/CO/CT/VA/UT): We do not sell your personal information. If we ever “share” data for cross-context behavioral advertising under applicable law, we will provide a “Do Not Sell or Share My Personal Information” link and honor opt-out signals as required.
Canada (PIPEDA): You can request access and correction of personal information we hold about you.
Children: Our Services are not directed to children under 16. We do not knowingly collect data from children.
9) International data
We currently operate primarily in the United States and may process information in the U.S. and other countries. Where required, we will use appropriate safeguards for cross-border transfers.
10) Marketplace and third-party links
Our Services may link to or interact with third-party marketplaces and tools. Their privacy practices are governed by their own policies. Please review those policies before sharing information on those platforms.
11) Role clarification (controller vs. service provider)
- Controller/business (FlipMate): our websites, request-access flow, account administration, product analytics, billing, and general operations.
- Service provider/processor (for customer workflows): contacting sellers, coordinating pickups, and processing content you or we handle on your behalf. We will enter into a Data Processing Addendum where required and follow your documented instructions for processor activities.
12) Changes to this policy
We may update this policy to reflect changes to our practices or legal requirements. We will post the updated version with a new effective date, and, where required, provide additional notice.
13) Contact us

Optional implementation notes
- Add a simple Privacy link in the footer of all sites/apps.
- Include a “Last updated” date at the top.
- Implement a basic privacy request flow (web form or email alias), and log request/response dates for compliance.
- If/when you add a “Do Not Sell or Share” toggle or cookie banner for certain jurisdictions, link to this policy section.
- Keep the policy consistent between FlipMate and Renw if data is shared (or add an “Affiliates” line pointing to Renw's policy).
